Event and Exhibition Participation Terms

Last updated: 23 October 2026

These terms apply to every business that requests to take part in an event or exhibition organised by Commercin Limited (an “Event”), as an exhibitor or as an invited buyer (a “Participant”).

1 Requests and confirmation

A request submitted through the Platform is not yet a booking. For exhibitors, the contract is formed when Commercin sends a written participation offer (stating the Event, what is included, price and payment terms) and the exhibitor accepts it in writing or pays the invoice. Buyers attend free of charge, by invitation; Commercin confirms each invitation in writing and may limit the number of buyers per company.

2 Price and payment

The exhibitor price, what it includes and the payment deadline are stated in the participation offer. Prices are in euros and exclusive of VAT, which is added where applicable. If payment is not received by the deadline, Commercin may release the place to another exhibitor.

3 What is included

Unless the offer states otherwise, participation includes a presentation space during the Event, a schedule of pre-arranged meetings with invited buyers, attendance at the business dinner, and a company profile on the Platform. Travel, visas, accommodation, transport of samples and insurance are the Participant's responsibility, unless the offer expressly includes them.

4 Representation by a Commercin agent

An exhibitor that cannot attend may be represented by a Commercin agent, if the offer includes it. The exhibitor provides the samples, catalogues and information needed. The agent presents the exhibitor's products and collects buyer contacts, but does not sign contracts or make commitments on the exhibitor's behalf unless the exhibitor gives a separate written mandate.

5 Visas and invitation letters

Participants are responsible for obtaining any visa required. Once participation is confirmed and, for exhibitors, paid, Commercin provides an invitation letter on request. Commercin cannot guarantee that a visa will be granted; refusal of a visa is handled under section 7.

6 Conduct

Participants must behave professionally, respect the venue's rules and the schedule, and present only products they are entitled to sell and that comply with the law of the country where the Event takes place. Commercin may refuse access to anyone who breaches these rules, without refund.

7 Cancellation by the exhibitor

Cancellation must be notified in writing to events@commercin.com:

  • more than [60] days before the Event: refund of the amount paid minus an administration fee of [20]%;
  • between [60] and [30] days before the Event: refund of [50]% of the amount paid;
  • less than [30] days before the Event, or absence: no refund.

If a visa is refused despite a complete application submitted at least [45] days before the Event, Commercin refunds the amount paid minus the administration fee, on presentation of the refusal decision. An exhibitor may transfer its place to another company of the same group, with Commercin's agreement.

8 Changes and cancellation by Commercin

Commercin may change the venue, programme or schedule of an Event for organisational reasons, while keeping its main features. If Commercin cancels or postpones an Event, exhibitors may choose a full refund of the amounts paid to Commercin or a transfer to another Event. Commercin is not liable for travel or accommodation costs booked by Participants, who are advised to book flexible tickets.

9 Force majeure

Neither party is liable for failure to perform caused by events beyond its reasonable control, including natural disasters, epidemics, war, strikes, government decisions or travel restrictions.

10 Results

Commercin organises meetings with relevant buyers but does not guarantee a minimum number of meetings, orders or any commercial result.

11 Liability and insurance

Participants are responsible for their own staff, samples and equipment, and are advised to insure them. Commercin's liability is limited to the amount paid by the Participant for the Event, except where the law does not allow such a limit.

12 Photos and participant list

Commercin may photograph and film the Event and use the images to promote its Events; Participants who do not wish to appear may tell the organisers on site. With each Participant's consent, Commercin shares the name, company and contact details of Participants with the other Participants of the same Event, to organise meetings.

13 Governing law

These terms are governed by the laws of Ireland, and the courts of Ireland have exclusive jurisdiction, unless mandatory law provides otherwise.
